Privacy Policy

This policy explains what information Kapels processes, why it is needed, which service providers may be involved, and how to contact us about privacy requests.

Information We Process

  • Account and user information, such as name, email address, sign-in status, roles, and permissions.
  • Workspace information, team members, roles, preferences, and workspace settings.
  • Business and operational information entered by users, including events, customers, vendors, deadlines, tasks, notes, and workflow records.
  • Files, contracts, attachments, signatures, generated documents, and records related to document workflows.
  • Subscription and billing information, including trial status, monthly or annual plan selection, payment status, and payment failure status. Kapels does not store full payment card details.
  • Notification data, such as notification preferences, device or push tokens for Web Push and Apple Push Notification service, and technical information required for delivery.
  • Technical information such as IP address, browser type, session identifiers, logs, diagnostics, and security events.

Google Sign-In, Calendar, Gmail, and Contacts

Kapels uses Google Sign-In for authentication and user identification when a user chooses this option. Google Calendar, Gmail, and Google Contacts integrations are enabled separately, only after the user provides explicit authorization, and only for the specific feature that the user connects.

  • Google Calendar: Kapels creates a dedicated secondary Google Calendar for the connected workspace. Kapels creates, updates, and deletes events in that calendar to reflect events managed in Kapels. Kapels does not manage or modify events in the user's other calendars. Kapels remains the primary system of record.
  • Gmail: Kapels sends operational and workflow-related emails through the connected Gmail account when the user uses the relevant feature. Kapels does not read the user's inbox, received messages, or Gmail history.
  • Google Contacts: Kapels creates and updates contacts related to customers and events managed by the user in Kapels. When updating a contact that Kapels previously created or mirrored, Kapels reads that specific stored Google contact record so it can update it correctly. Kapels does not read, list, search, or import the user's general Google Contacts list.
  • Kapels uses Google user data only to provide the features that the user has enabled. Kapels does not sell Google user data, use it for advertising, or use it to create marketing profiles.

Use, Storage, and Sharing of Google User Data

Kapels accesses Google user data only after user authorization and only to the extent required to operate the connected feature. Kapels may store connection identifiers, authorization tokens, the dedicated calendar identifier, Google event identifiers, Google contact identifiers and etags, contact synchronization status, and operational information required for synchronization, security, and troubleshooting.

Google user data is not transferred to third parties for advertising, marketing, sale, or data-broker purposes. Information may be processed by infrastructure providers acting on behalf of Kapels only to the extent necessary to operate, secure, and maintain the service.

Kapels' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Disconnecting Google and Requesting Deletion

Users can disconnect each Google integration through the Kapels settings or revoke Kapels' authorization through their Google Account settings. After an integration is disconnected or authorization is revoked, Kapels stops performing new actions through that connection.

Users may contact support@kapls.com to request deletion or correction of connection data or personal information, subject to applicable retention obligations and workspace permissions.

Processing Purposes

  • Operating the application, authentication, workspace management, and permission controls.
  • Managing events, customers, documents, contracts, signatures, and operational communication.
  • Billing, subscription management, payment failure handling, and providing a trial period or grace period under the Terms of Service.
  • Sending notifications, operational messages, and service updates related to the user's workflow.
  • Security, abuse prevention, troubleshooting, support, diagnostics, and service reliability.

Service Providers and External Services

Kapels uses infrastructure and operational service providers to provide the service. These providers receive only the information needed for their role, according to the service configuration and user authorizations.

  • Supabase for authentication, database, storage, and files.
  • Vercel for hosting, deployment, and running the web application.
  • Google for Google Sign-In, Calendar, Gmail, and Contacts features authorized by the user.
  • DocuSeal for document and electronic signature workflows.
  • Cardcom for payment processing and payment management.
  • Resend and operational email providers for service messages.
  • Web Push and Apple Push Notification service for browser and device notifications.

Workspace Ownership and Access

Information entered into a workspace belongs to the business context of that workspace. Workspace owners or authorized administrators can invite users, remove users, and manage access according to the permissions configured in Kapels.

Users are responsible for ensuring that they have permission to enter information about customers, vendors, team members, or other people into the service.

Retention, Deletion, and Security

Kapels keeps information for as long as it is needed to operate the service, provide support, maintain security, meet contractual obligations, or maintain reasonable operational records. Users may request deletion or correction of information, subject to workspace permissions and applicable retention obligations.

Kapels uses access controls, environment separation, secured infrastructure, and dedicated service providers. However, no internet service can guarantee absolute security.

Kapels does not sell personal information.
